Effective Staff Management Using Clear Communication

Unclear communication will be the biggest handbrake on your business’s performance.  Your team will be uncertain about their requirements and priorities, you will be frustrated with endless non-delivery, and the level of anxiety throughout the business will be high.  Vague messages lead to misunderstandings, poor decision-making, and missed opportunities. As a business owner, it’s essential to be clear about setting expectations and goals and ensuring everyone is aligned.

Imagine you instruct your sales team to “increase sales.” With that as an instruction, the team will struggle to deliver or even know how to measure their success. This lack of clarity leads to confusion and execution that doesn’t meet your expectations.  Clear targets provide direction and purpose, leading to more effective strategies and better results.

Replacing vague instructions with specific language will transform how your business operates. Being particular provides a clear understanding of:

What you want done - Clearly define the task at hand, outlining the specific steps required to complete it. Clear communication ensures that everyone understands their responsibilities. Ensure the person doing the task is clear by confirming that they understand what they’re actually doing.

When you want it done – Reach an agreement with the person doing the task regarding a reasonable completion timeframe. Ensure the person reports the completion status to you.

What results are expected – Define the expected results. Results could include numbers, quality, and outcome. These must be expressed as an objectively assessable outcome.

How and when you need progress updates – Have your staff member ‘push’ the results. It shows ownership.  If you are chasing updates on results, you own the numbers, not the staff member.

What to do when problems arise - Solution Creation: When problems in delivery or results present themselves, don’t take on the responsibility of solving the problem; instead, guide the staff member in creating solutions and workshop them with them.

What problem is being solved – First Principle: Ensure the staff member understands the ‘true’ problem. You don’t want to spin wheels solving symptoms instead of core issues.

Having all these items equals clarity!

Clear communication is the foundation of successful business operations. It ensures that everyone understands their roles, expectations, and goals. Precise communication fosters a culture of transparency and accountability.
